Your Guide to Mastering Time Management

Event professionals are constantly juggling different tasks and it can often seem like 24 hours just isn’t enough time in the day to accomplish everything you need to do. Strong time management is a skill that’s crucial for the success of any event professional to ensure you accomplish all the many moving pieces that go along with planning a successful event. Use our three tips to help master the art of managing your valuable and limited time:

1-Make Daily To-Do Lists: Odds are you probably have an overall project responsibilities list, but it won’t include all the little minute details and tasks that help support the larger plan. Need to send a follow-up email to a vendor or review a marketing flyer? Write it down to ensure it doesn’t get lost in the hustle and bustle of your day. Write the list down on old-fashioned paper and list your items from most important to least. You’ll feel like a boss as you’re able to cross things off each day.

2-Delegate: Learning to rely on others to help assist with projects may sound easy but it can be hard to relinquish control of projects. Event professionals aren’t super heroes so it’s up to you to determine how much you can realistically do and do well with the time and workload you have. Find people who are skilled at working on tasks you need completed and take a leap of faith that they can accomplish it just as well (if not better) than you. Trust us-you’ll kick yourself for not making the decision to delegate tasks sooner.

3-Segment Your Day by Task: Set aside time to focus on certain, similar things. For example, if you have a bunch of client emails to respond to set aside one hour JUST to answer your emails. If you need to work on daily run-downs for your event set aside a few hours in which you’re ONLY doing run-downs. This makes it easier for your brain to focus on the task at hand. This will allow you to work more efficiently, because you’re not constantly switching back and forth and refocusing between what you’re doing.

Mastering time management to become a more efficient planner takes time so don’t be discouraged if it doesn’t happen overnight.
