1. Choose an appropriate venue
If you’re going to have remote participants, you must have your meeting at a venue that can accommodate your needs. 2. Test your equipment ahead of time
Technology can be a challenge! Be sure to arrive to the venue early so you can test the videoconferencing equipment and start the meeting on time.
3. Keep time zones in mind
When sending the meeting invite, make a note of which time zone your remote participants will be joining from. That way, everyone will join the meeting at the same time and there will be no confusion.
4. Make sure all participants have the meeting materials
Send out the meeting agenda, charts, and handouts the day before your meeting so remote and onsite attendees can get organized ahead of time.
5. Go with the flow
Let’s face it—videoconferences don’t always go according to plan. Whether it’s a technical glitch or some other error, try to solve the issue as soon as possible and continue with your meeting.
